CROIX COUNTY SERVICES CENTER ROOM #172 1752 DORSET LANE, NEW RICHMOND, WI CALL TO ORDER by Vice Chair Johnson at 9:00 AM ROLL CALL Toni Chambers, Jody Gohr via phone, Julie K. Johnson, Julie Johnson, Aaron Long, Fay Strenke, Kathy Wochomurka, Liz Pizzi, Carrie Doehrmann, Amber Thompson, Kathy Huston, Paul Wick, Adam Delikowski nd APPROVAL OF MINUTES Motion by Pizzi 2 by Wochomurka, minutes approved. PUBLIC COMMENT none BUSINESS ITEMS 1. CCS Enrollment Data: 103 recipients, 75 youth 25 adults 2. Review of any new member referrals to the Coordination Committee: none nd 3. Updating the quorum requirement in the By Laws. Motion by Wochomurka 2 by Johnson to add section B2 to the By-Laws to temporarily update the definition of a quorum. Motion approved 4. Update regarding expansion of Shared Services Model: Required forms have been submitted to the State to get approval for the new CCS model. St. Croix and Eau Claire will continue to help Barron as needed and will wait to hear back from the state. 5. Update from Work Groups Marketing and Publications: This group met in May and worked on ways to steam line ways to contact CCS. The update brochure was passed around to review. Phone numbers were made clearer and clarification was added on what to expect when you call. Suggestion to add age range next to youth phone number. Other suggestions discussed. Suggestion to look at web site next. Motion to move forward with the publication of the updated brochure. Motion by nd Pizzi, 2 by Long. Motion approved. 6. Updates from Work Groups Quality Improvement: Option for committee members to participate remotely has been extended to the group. This group is also looking for additional members. Barron has been participating in this group. The group has been working on increasing response to the surveys. Service facilitators will sharing information with the recipients about the survey. Multiple options will be presented to service recipients for completing the survey. There will be an incentive given for taking the survey. The survey process will start now through the end of the year. 7. Updates from CCS Fiscal Staff : We have several new providers AcuEnergetics, Vance Creek Therapy, Rocky Hill, and Rolling Hills Equine. CCS cost reconciliation for 2017 was completed and certified. A new library was added to the CCS share point portal to house CCS required provider documentation such as back group checks, references, credentials etc. Notification will be sent to providers regarding a change in work flow. Currently service facilitators review provider progress notes for meeting CCS documentation requirements and match them to the invoice. In September this will switch Fiscal QA staff doing the review. 8. Discussion on development of New Committee Member Procedures: There was review of documentation that is in new member folders and new provider folders. Discussion of places we can share information about CCS such as Community fairs, vendor fairs, chamber meetings, schools, law enforcement, ministry, New Richmond Community foundation. Pizzi, Chambers, Wochomurka and Huston will work together on updating information for recruitment to the committee. REQUEST FOR FUTURE AGENDA ITEMS. Registration due August 17. RECOMMENDATIONS FOR CONSIDERATION BY THE COMMITTEE Temporary update to definition of a quorum in the By-Laws was approved. SECTION B2 Effective 7/27/2018 this section will supersede Section B until 12/31/2018. At which point it will no longer be enforced. Quorum for the meetings is defined as having a minimum of (1) representative from the three (3) required membership groups of the Committee, those being: Persons with Lived Experience, Department of Health and Human Services/Providers, and Community Partners. If there are at least one (1) representative from each of those required groups, in addition to the Committee Chair or their designee, then there will be quorum for the committee to meet.
